What type of container does Guardian Cryo use for transport?
We use validated, state-of-the-art Liquid Nitrogen Vapour Shippers (Dry Shippers). These units absorb the liquid nitrogen into a proprietary lining, maintaining a stable cryogenic temperature below -150°C for up to 10-15 days, minimizing risk even in the event of major travel delays.
Is the container tracked, and can I monitor the temperature?
Yes. Every dry shipper is equipped with a high-accuracy, validated temperature data logger and GPS tracking. Our clients and the receiving clinic receive real-time updates and are provided a complete temperature report upon successful delivery.
How do you prevent X-ray damage to the embryos/samples at the airport?
Our couriers adhere to a strict "No X-Ray Policy." The dry shipper is hand-carried (where permitted) and is never checked as standard luggage. Our couriers are trained to request and manage a visual, physical inspection by TSA/Customs officers to ensure the samples avoid potentially harmful ionizing radiation.
What is your strict Chain of Custody (CoC) protocol?
The CoC process involves joint verification: A Guardian Cryo courier and a clinic staff member (usually an embryologist) jointly confirm the contents, verify the labels, and sign the CoC document. The shipper is then secured with a tamper-proof seal whose serial number is recorded. This process is reversed at the receiving clinic.

What is the typical timeline for a domestic transfer?
Domestic (US-based) transfers typically take 1–3 days from collection to delivery, depending on flight availability and ground transport logistics. The courier travels directly between the two clinics once the departure paperwork is finalized.
What is the typical timeline for an international transfer?
International transfers typically take 3–7 days. The process is longer due to mandatory lead times for securing import/export permits, coordinating customs clearance, and managing the required dry shipper transit time.
How far in advance should I book my transport?
We recommend booking a minimum of 3-4 weeks in advance for international transfers to allow sufficient time for document preparation, permit application processing, and securing optimal flight routes. Domestic transfers require a minimum of 1 week's notice.
Does Guardian Cryo coordinate directly with the fertility clinics?
Absolutely. Our logistics coordinators liaise directly with the embryologists and administrative staff at both the sending and receiving clinics to manage release forms, shipping instructions, and delivery windows. We manage the entire coordination process to keep the patient stress-free.
What is required of me (the patient) to initiate a transfer?
You simply need to initiate the transfer with your clinic and then contact us to submit a quote request. We will require the contact information for both clinics, the type and quantity of material, and a signed authorization form from you allowing us to work with your clinics.

Do you handle transfers outside of the United States?

How does Guardian Cryo handle complex customs and import permits?
We manage all necessary customs documentation, including the Shipper's Declaration for Dangerous Goods (IATA), non-commercial value declarations, and critical import/export permits (e.g., meeting EU Tissue and Cells Directives). Our expertise minimizes the risk of border delays or seizures.
Is your staff certified to transport biological dangerous goods?
Yes. All Guardian Cryo couriers and operations staff are rigorously trained, certified, and compliant with the IATA Dangerous Goods Regulations (DGR), specifically for shipping Biological Substance, Category B (UN 3373).
How is my personal health information (PHI) protected during transport?
Guardian Cryo is a HIPAA-compliant organization. All patient data is anonymized where legally possible, secured digitally, and only shared with necessary clinic personnel under strict privacy agreements. We never store PHI in unsecured physical documents during transit.
What are the primary differences between domestic and international transfers?
The primary difference is documentation and time. International transfers require extensive regulatory paperwork, customs brokerage, and country-specific permits, adding significant planning time and complexity compared to domestic transfers which mainly require clinic release forms.

What is included in Guardian Cryo's transportation fee?
Our fee is all-inclusive, covering: 1) Dedicated Hand-Carry Courier, 2) Rental and preparation of the validated dry shipper, 3) IATA/DOT Compliant documentation and labeling, 4) All flight, travel, and ground transportation costs, and 5) Full coordination with both clinics.
Are there any hidden costs for the transport service?
No. Our pricing is provided as a transparent, all-inclusive quote covering the entire scope of work. Any potential third-party costs (like specific country permit fees, which are rare but mandatory) will be clearly outlined in your initial proposal.
What is your cancellation or refund policy?
If you cancel before any operational costs (flights, courier assignment) are incurred, your deposit may be fully refunded. Once a transfer is in the planning stage or courier travel has commenced, the refund is subject to the costs already incurred. Full details are outlined in our Service Level Agreement (SLA).
Does Guardian Cryo provide liability insurance for the shipment?
Yes. We carry comprehensive, specialized Cargo and General Liability Insurance for every transfer we execute. This specialized insurance covers the financial value of the service and provides assurance against loss or damage due to negligence or temperature excursion. What payment options do you accept?
